UPS maintenance: a practical checklist for facility teams

What to record, what to ask your service partner and how to prepare for preventive maintenance.

Keep an equipment register

Record each UPS model, serial number, installation date, connected load and battery configuration. Add service visits, fault reports and any changes to the connected equipment. This gives the service engineer a useful history and helps your team distinguish a recurring fault from a new operating condition.

Pay attention to alarms and changes

Record the exact alarm message and when it occurred. Note whether mains power, generator operation or the connected load changed at the same time. Follow the equipment’s operating instructions and contact your service partner for unexplained alarms. Do not open cabinets or work on batteries unless you are qualified and authorised to do so.

Check the installation environment

Keep access routes clear and follow the manufacturer’s requirements for ventilation and the operating environment. Report water ingress, blocked ventilation or damage promptly. A room that was suitable at installation may change as other equipment or storage is added, so include the surrounding area in routine facility observations.

Ask for battery condition checks

Battery performance depends on the actual battery type, operating conditions and usage. Ask your service partner to assess condition and explain any recommended replacement. Avoid assuming that age alone gives a complete picture. Replacement batteries need to suit the equipment and configuration, and used batteries should go through an appropriate collection or recycling channel.

Understand what your AMC covers

Before approving an annual maintenance contract, confirm the equipment covered, planned visit frequency, call-out arrangements, parts exclusions and battery coverage. Ask how service requests are logged and what response commitments apply to your location. Record these terms in the contract so your team knows what to expect.

Plan service work around operations

Agree a suitable maintenance window and any required continuity arrangements with the technical team. Keep the responsible site contact available and inform affected teams in advance. After the visit, request a written service report listing observations, work completed and outstanding actions. Follow up on those actions rather than filing the report and forgetting it.
