How to choose an online UPS for your business

A practical guide to load, backup time and site requirements before you ask for a quotation.

Start with the equipment you need to protect

Make a list of the equipment that must keep running during an outage. Separate computers, networking and controls from loads such as air-conditioning or other large machinery. Record the nameplate details and tell your supplier which equipment starts together. A simple equipment list is a much better starting point than choosing a UPS by price alone.

Capacity and backup time are different decisions

The UPS capacity relates to the load it can support. The battery arrangement affects how long that load can run when mains power fails. Ask for both to be stated clearly in the quotation. A higher-capacity UPS does not automatically mean longer backup. Share your expected operating load, desired runtime and plans for expansion so the proposed configuration can be checked.

Share your site details before finalising

Tell the technical team whether your supply and connected equipment are single-phase or three-phase. Share the installation location, available space, cable route and any existing generator or battery bank. Compatibility needs to be assessed for the actual equipment and installation. For medical equipment, CNC machines or other specialist loads, include the equipment manufacturer’s electrical requirements.

Compare complete quotations

Ask what is included: the UPS, batteries, battery rack or cabinet, installation, commissioning and any additional electrical work. Check the model-specific specifications, warranty terms, exclusions and service coverage. Two quotations with the same kVA rating can cover very different battery configurations and scopes of work.

Keep servicing in the buying decision

Provide safe access for inspection and follow the manufacturer’s installation and environmental requirements. Discuss preventive maintenance, battery checks and support arrangements before commissioning. For a business with critical operations, a clear service plan matters as much as the initial equipment selection.

What should you send with an enquiry?

Send your equipment list, location, supply details, required backup time and a photograph of the proposed installation area. If replacing an existing UPS, include its model and battery details.
